What we collect when you use this site or order from us, what we use it for and who else sees it. We collect what we need to make and deliver your order, and we don't sell it.

Who we are

This site is run by Streber LLC, doing business as Hudson Valley Promos, 10 Corporate Park Drive, Suite D, Hopewell Junction, NY 12533. Questions about this policy go to cs@hvpromos.com or 845-202-7600.

What we collect

• Contact details: your name, email, phone number and company.
• Addresses: where you want your order shipped.
• Order details: what you order, your designs, proofs, notes and payment status.
• Files you upload: artwork, logos, photos, print files and tax-exempt certificates.
• Messages: what you send us through the quote, contact and other forms, and by email.
• Technical details: like any website, our server receives your IP address and basic browser details when you visit. We use them to keep the site working and to block abuse.

We don't collect your card or bank account numbers. You type those into Helcim's secure payment window, or pay there with Google Pay, and they never touch our servers.

What we use it for

• To make, ship and support your order: proofs, receipts, questions and reorders.
• To run your account: sign-in codes and your order history.
• To charge sales tax correctly and review tax-exempt certificates.
• To send our newsletter, only if you sign up for it and confirm.
• To keep the site and our systems secure.

Our newsletter

If you sign up at the bottom of any page, or tick the box at checkout, we email you ideas, seasonal deadlines and offers from our shop, about once a month. You're added only after you press the button in the confirmation email we send first. Every newsletter has an unsubscribe link at the bottom: one click takes you off the list, no sign-in needed, or email cs@hvpromos.com. Unsubscribing doesn't stop emails about your orders. As a record that you asked, we keep your email address, where you signed up, and when and from what IP address you signed up and confirmed. We never sell or rent the list, and no one else gets it except the service that sends our emails for us.

Who else sees it

Only the companies that help us take and fill your order, and only what each one needs:

• Helcim processes card and bank payments. We send it your name, contact details, address and what you're buying so the payment matches your order. If you save a card, Helcim stores it, not us.
• Our shipping carrier receives your shipping address to check it, quote rates and deliver your order.
• Resend sends our emails, such as sign-in codes, proofs, receipts and our newsletter, so it handles your email address and those messages.
• Our order management system, which we run ourselves, holds your orders and account so we can produce and track them.

We don't sell your personal information, and we never give your name, email, phone number or address to anyone for advertising. What Google and Meta learn when you visit is explained under Analytics and advertising below. We will share information if the law requires it.

Your uploaded files

Every file you upload is scanned for viruses before we accept it. We use your files only to make your orders, and we keep your artwork on file so a reorder matches the original.

Cookies and browser storage

When you sign in, we set one session cookie that keeps you signed in for up to 30 days. It's marked HttpOnly, so scripts on the page can't read it.

Your cart, the items you save, your ZIP code and a few other preferences are kept in your browser's local storage, on your own device. Clearing your browser data removes them.

Google Analytics and the Meta Pixel set cookies of their own, described next.

Analytics and advertising

We use Google Analytics and the Meta Pixel (from Meta, which runs Facebook and Instagram) to count visits and to see whether our ads work. They receive your IP address and basic browser details, the pages you view, and what you do there, such as viewing a product, searching, adding to your cart, starting checkout, placing an order (with its amounts and order number) or sending one of our forms. We never send them your name, email, phone number or address, your files or designs, or your order notes. The Meta Pixel is not loaded at all on private links, such as a proof, a cart reminder or a saved design.

To opt out, block cookies or trackers in your browser's settings, or use an ad blocker. You can also choose how Meta uses this for ads in Meta's ad preferences, and turn off Google Analytics with Google's opt-out browser add-on.

Other services the site loads

Our pages load fonts from Google Fonts, and the contact page shows a Google map. Some product photos load from our suppliers' image servers. When your browser loads these, those companies receive your IP address and basic browser details, as with any website.

How long we keep it

We keep order records, including invoices and tax-exempt certificates, for as long as tax law requires. If you ask us to delete your information, we delete everything else.

Your choices

To see what we hold about you, correct it or have it deleted, email cs@hvpromos.com. We'll confirm it's you before we make changes.

Changes to this policy

If we change this policy, we'll update this page and the date at the top.
