Ordering and proofs
How an order goes from your idea to your hands.
How do I place an order?
Most products price themselves online: design it, see the price, and check out. Anything with too many choices to price online, like vehicle lettering or ADA signs, you send as a quote request, and we price it by hand. See how ordering works.
Will I see a proof before you make it?
Yes. We send a proof within 1 business day, and nothing is made until you approve it. The one exception is next business day rush, where the design on your screen is your proof. See the Proof Promise.
Can I change or cancel my order?
Ask for changes on your proof, or cancel free, any time before you approve it. Once you approve, production starts and the order can't be canceled. To change a rush order, call 845-202-7600 as soon as possible.
Do I need an account to order?
Yes, every order needs one, and you make it at checkout with a 6-digit code we email you. There's no password to remember.
Artwork and design
What to send us, and what we can do if you don't have it.
What file should I send?
A vector file (AI, EPS, PDF or SVG) is best, because it stays sharp at any size. A high-resolution PNG or JPG works too, and our designers check it against the size you're printing, so you know before you order whether it will look sharp. See our artwork guide.
I don't have artwork. Can you design it?
Yes. Design service is $50 on banners, signs and stickers and $65 on business printing like cards, postcards and brochures, and you approve a proof before anything is made. Yard signs include basic design and setup. Design help for team gear is quoted with your order.
My logo is a small or blurry image. Can you use it?
Often, yes. If it has to be redrawn as a clean vector file first, there can be a charge, and we'll tell you about it before you approve anything. We keep the redrawn file on hand for your reorders.
Can you match our brand colors?
Give us your PMS (Pantone) colors before you approve your proof and we match to them. On screen printing, an ink mixed to a Pantone color is $9.50 for each one, once per order. For embroidery, we pick the closest thread colors and your proof shows them.
Prices and minimums
Most prices are on the site, with every quantity break.
Is there a minimum order?
It depends on the product. Banners, name tags, magnets and yard signs start at one. Screen printing starts at 12 pieces, while full-color DTF has no minimum. Business cards start at 250, postcards at 100 and die-cut stickers at 25, and the department pages list the minimum for every item.
Are there setup or screen fees?
Screen setup is built into the price per piece, so there's no separate screen charge. An embroidered logo is digitized once for $35, and we keep the file so reorders don't pay it again. There are no processing fees on any payment.
How do I get a price?
Most products show the price as you design, with every quantity break, and the more you order, the less each piece usually costs. For anything else, send a quote request or call 845-202-7600 and we'll price it for you.
Turnaround and rush
When it will be ready, and how to get it sooner.
How long will my order take?
It depends on the item. Banners are ready 2 to 4 business days after you approve the proof, name tags 2 to 3 business days, and most apparel about 10 business days. Most product pages show the date your order will be ready, and the clock starts when you approve your proof, not when you order.
Can I get it faster?
Yes, on many items. Business cards, postcards, flyers, bookmarks, yard signs, foam board and styrene signs can be printed the next business day when you order by 11 AM Eastern on a business day. Banners, stickers and floor graphics have their own rush, and rush on apparel can have many orders ready in 3 to 5 business days, for 25% more. See rush printing.
I have a deadline. Can you make it?
Tell us your date. Many product pages have a "need it by" field that shows the last day to order, and if it's close, call 845-202-7600 and we'll tell you honestly what's possible.
Pickup, shipping and delivery
Collect it free at the shop, or we ship it anywhere in the US.
Can I pick up my order?
Yes, free, at 10 Corporate Park Drive, Suite D in Hopewell Junction, for everything we make in our shop. No appointment needed: Monday to Friday 10am to 6pm and Saturday 12:30pm to 4:30pm. See pickup and delivery.
Do you ship?
Yes, anywhere in the United States. At checkout you choose ground, 2-day or next-day delivery and see the price before you pay, and banners, magnets and floor graphics ship at a flat rate. A few items, like tents, flags and banner stands, ship straight to you and can't be picked up. See our shipping policy.
Do you deliver locally?
If you're within about 10 miles of the shop in Dutchess County, we may be able to bring your order to you. It isn't an option at checkout, so call 845-202-7600 to ask.
Can you ship one order to several addresses?
Yes. If you need one order sent to more than one place, like schools in a district, call us and we'll set it up.
Paying, purchase orders and tax exemption
For everyone, and for schools, towns, fire companies, nonprofits and businesses with an account.
How can I pay?
By card (Visa, Mastercard, Amex or Discover), Google Pay or ACH from your bank account, when you place your order. Approved accounts can also pay on a purchase order with Net 30 terms. There are no processing fees, ever.
Can we pay by purchase order or on Net 30 terms?
Yes, on an approved account. Schools, towns, fire companies, nonprofits and businesses can apply online in about five minutes, and we review it within one business day. You can send a purchase order request while we review it. Apply for an account.
We're tax exempt. How does that work?
Send your Form ST-119.1 (or ST-120 if you're buying for resale) with your account application, and once we approve it, your orders aren't charged sales tax while it's valid. Ordering first? Upload it at checkout: we charge the tax on that order and refund it once we approve your certificate. Government offices don't need a certificate: your purchase order is the proof.
Can you send a W-9 and a certificate of insurance?
Yes, the same business day you ask. Request them on our vendor setup page or email cs@hvpromos.com, and if your district has its own vendor packet, send it over and we'll fill it out.
Apparel
Shirts, hoodies, polos and hats, printed or embroidered in our shop.
What's the minimum for custom shirts?
Screen printing starts at 12 pieces, and sizes count together toward it. Under that, we print in full color (DTF), which has no minimum. Some styles have a minimum of their own, from one piece to 6 or more, and the designer or your quote will tell you.
Screen printing, DTF or embroidery: which should I choose?
Screen printing costs the least on bigger runs in a few colors, full-color DTF handles small runs, photos and gradients with no minimum, and embroidery is the one for polos, jackets and hats. Leave the method on Auto in the designer and it picks the cheaper print for you. Compare the methods.
How much do custom T-shirts cost?
The shirt plus the printing. A basic cotton tee printed in one color on the front starts at $10.75 each for 24, and the price per shirt drops as you order more. See worked examples from 12 to 250 shirts.
Can I get a sample shirt or a size run first?
We don't send sample garments or size runs. Our sizing guide helps you collect sizes, your proof shows exactly how your design will look before anything is made, and you're welcome to stop by and talk it through.
Can you add names and numbers?
Yes. Names can print in full color on the back of each shirt, embroidered names are $8 for one line, and team names and numbers are heat applied in our shop. See team uniforms.
Signs and banners
Sizes, materials and what comes with them.
What size should my sign be?
Allow one inch of letter height for every 10 feet it's read from, then size the sign around the words. See how big should the sign be? and yard sign sizes.
Which banner material should I choose?
13 oz vinyl, at $4.50 a square foot, is the standard for most banners, indoors or out. 18 oz is for the long term and high wind, and the only one we print on both sides, and mesh lets wind through on a fence. See materials, compared.
Are grommets included?
Yes. Every banner is hemmed and grommeted free. Pole pockets can take their place, and the designer prices them as you choose.
Do yard signs come with stakes?
H-stakes are $1.50 each, one a sign, for the 4mm sizes a stake holds. Bigger signs and the heavier boards hang by grommets instead.
How big can a banner be?
One piece can be up to 120 inches on its short side and 95 feet long. Anything bigger is seamed and quoted by hand.
What's the minimum for business cards and postcards?
Business cards start at 250, postcards at 100 and brochures at 25, and copies can be ordered one sheet at a time. See business printing.
Can you mail postcards for us?
Yes. We can handle the whole mailing: printing, addressing, sorting, postal paperwork and postage. Every Door Direct Mail is quoted for the routes you choose. See direct mail.
Do you print holiday and greeting cards?
Yes. Folded greeting cards start at 10 of a design, printed outside and inside, with an envelope for each card if you like. See greeting cards and business holiday cards.
Awards and engraving
Plaques, awards, name tags and gifts, engraved on our own laser.
Do you do the engraving yourselves?
Yes, on our own laser in our Hopewell Junction shop, and you approve a proof of the layout before we engrave anything. See laser engraving.
How long does an engraved plaque take?
Plaques are usually ready 7 to 10 business days after you approve your proof. Tell us your event date when you ask, and we'll tell you the latest day to approve.
Is there a minimum for awards?
No. We're glad to engrave a single plaque or award, and name tags, desk plates and door signs start at one too.
Team and company stores
Everyone orders and pays for their own, and we deliver it.
How does a team store work?
We build your group its own online store, where families pick their sizes and pay by card. A typical store is open for two weeks, and everything is ready about 10 business days after it closes, bagged by name and delivered to your group, with pickup at our shop or shipping home if you offer them. See team stores.
How does fundraising work?
You add a dollar amount or a percent to any item, and it's built into the price families see. We pay it to your group by check or ACH within 14 days of everything being made and delivered, once we have your group's W-9.
What is a company store?
An online store with only the garments, colors and logo placements you've approved, where your people order their own. A standard store costs nothing to set up. See company stores.
Returns and reprints
Everything we make is custom. If we got it wrong, we make it right.
Can I return something?
Everything we make is custom, so we can't take it back for a change of mind. If it doesn't match the proof you approved, or it arrives damaged or defective, tell us within 72 hours of delivery or pickup, with photos, and we reprint or replace it free. See returns and reprints.
What if there's a mistake on the proof I approved?
We make exactly what the approved proof shows, so a mistake on it isn't covered by a free reprint. Call us and we'll help you get it fixed.
My order arrived damaged. What do I do?
Within 72 hours, email cs@hvpromos.com or call 845-202-7600 with your order number and photos, including the box, and keep the items until we've sorted it out. We replace it free.
Still have a question?
Ask us here, or call. We'd rather spend five minutes answering than have you order the wrong thing.
