Business card size appointment cards, or a 2.5" square, printed in full color, with a back made for writing the next visit.
What it's for
An appointment card is a business card with a job to do: it goes home in a wallet or on a fridge with the date and time of the next visit written on it, so fewer people forget and fewer chairs sit empty. Dentists, salons, barbers, chiropractors, physical therapists, auto shops, tutors and groomers hand them across the desk every day. The front carries your name, logo and phone number like any business card; the back has lines for the day, the date and the time. We will help you set it up, check the file and send a proof before a single card is printed.
Size, paper and printing
Appointment cards are the standard business card size, 3.5 by 2 inches, or a 2.5 inch square, printed in full color on both sides. The back is made to write on: the writable stock (on the 3.5 by 2 inch card) takes a pen cleanly on the side your staff fills in, while the front keeps its color. A coated card is also offered, for a front that is all photo and a back you will stamp or label instead of writing on. Design yours online from an appointment template, or upload your own file.
The card that keeps the appointment
A reminder text is easy to swipe away; a card with a time written in your receptionist's hand stays on the counter or in a wallet until the day of the visit. It also puts your phone number in front of the patient or client at the exact moment they need to reschedule, which is when you want them calling you and not quietly skipping. Many offices hand one out at checkout and slip a second into a new patient packet.
A back you can write on
Most business cards are coated on both sides, which makes colors bright but leaves ballpoint ink sitting on the surface, where it smears. Appointment cards start on the writable stock: the front is coated for color and the back is left uncoated, so an everyday pen writes cleanly and the ink dries in place. Keep the back light and simple, with plain lines and short labels such as DATE, TIME and WITH, so the handwriting is the easiest thing on it to read.
Layouts for every kind of office
The templates cover a dental office, a day spa, a chiropractor, a hair stylist, a barber, an auto service reminder and more, each with its own back: one visit, three visits in a row, or a service and mileage line for a garage. Change the colors to match your sign and your uniforms, put in your logo and your hours, and add a line for your cancellation policy if you ask for notice. Every layout keeps the words a quarter inch in from the edge so nothing is lost in the trim.
Matching reminder postcards
For patients or customers you see once or twice a year, a mailed card works while the appointment card sits in a drawer. Our appointment reminder postcards use the same kind of layouts, with the address side kept clear for mailing, so your cleaning reminders, checkups and oil change notices look like they came from the same place as the card on your front desk.
Reorders without starting over
Once your appointment card is set up, we keep the file. When the stack runs low, reorder the same card, or change a name, a phone number or the hours and approve a new proof. Offices with several providers often order one card per person on the same order, each with its own name on the front and the same back.
How ordering works
Design it online: start from one of our templates or your own logo, or upload a print-ready file in the designer, and see the price for every quantity as you go. The price is for the whole order, from 250, and the more you order, the less each one costs. We check every file and send a proof within 1 business day, and nothing is made until you approve it. It is ready to pick up or ships 4 to 5 business days after you approve the proof. Rush orders are printed the next business day, with no separate proof: the design on your screen is what prints. See how rush printing works. Pick it up free at our Hopewell Junction shop, or we ship it anywhere in the US.
Questions about appointment cards
Can we write on appointment cards with a ballpoint pen?
Yes, on the writable stock, which is where these cards start. Its back is uncoated, so ballpoint, felt tip and pencil all write cleanly. If you choose the coated card instead, plan to put a small label on the back rather than write on it.
Can the back hold more than one appointment?
Yes. Some templates have room for a single visit and others for three in a row, which suits a course of physical therapy, a series of treatments or a block of lessons.
Can the front match our business cards?
It can be the same design. Start from your business card, or send us the file, and we will put the appointment lines on the back so the two cards read as one set.
Can you print our cancellation policy on the back?
Yes. Keep it to a sentence or two in small but readable type, such as asking for 24 hours notice to change an appointment, and put your phone number right beside it.
How many should a busy office keep on hand?
Count how many visits you book at the front desk in a typical month and order two or three months of cards at once. The price of each card drops as the quantity goes up, and we keep your file for the next order.

I would recommend Hudson Valley Promos to anyone looking for custom embroidery work. I went here with an idea for Christmas presents for my family. Zach not only created the idea, but was so friendly and professional throughout the process. I will definitely be going to Hudson Valley Promos again for some more custom work. Please consider using this local shop because you will not be disappointed. Thanks, Zach!
Zack and Bruce took care of me like I was a 15 year old client. I cannot thank them enough for their help and quick turnaround. Products came out perfect. Truly made my day.
Zack is truly the best! I get 100% of my business stationary and apparel through hvpromos. Quality and turn around time is top notch. I won’t go anywhere else.
Incredible. Zack was first class from inception to completion. I needed four shirts embroidered for a golf outing that was less than a week away. The communication, responsiveness, and guidance were top notch. The shirts came out beautifully and I could not be happier. Highly recommend Zack and his team for all your needs. Thank you!
